Leads

Leads represent prospective customers who have not yet made a purchase. The lead management system helps you track potential customers through your sales pipeline.


Lead Management

Navigate to Admin > CRM > Leads to view and manage all leads. The lead list shows:

  • Lead name and email
  • Current status
  • Date created
  • Last activity
  • Assigned staff member (if any)

Lead Statuses

Each lead moves through a defined set of statuses as they progress through your pipeline:

StatusDescription
NewA freshly created lead that has not been contacted yet
ContactedInitial outreach has been made
QualifiedThe lead has been vetted and shows genuine interest in purchasing
ConvertedThe lead has made a purchase and become a customer
LostThe lead is no longer interested or has chosen a competitor

Creating Leads

  1. Navigate to Admin > CRM > Leads.
  2. Click New Lead.
  3. Fill in the lead details:
    • Name - the lead's name
    • Email - contact email address
    • Source - how the lead was acquired (e.g., website inquiry, referral, social media)
    • Notes - any initial context about the lead's needs or interests
  4. Click Save.

Leads can also be created automatically when users register an account but have not yet purchased a service.


Adding Notes

Track all interactions and observations about a lead by adding notes:

  1. Open the lead's detail page.
  2. Navigate to the Notes section.
  3. Type your note and click Add Note.

Notes are timestamped and attributed to the staff member who added them. Use notes to record:

  • Details from phone calls or emails
  • The lead's specific requirements or concerns
  • Follow-up tasks and deadlines
  • Competitive information

Conversion Tracking

When a lead makes their first purchase, they can be marked as Converted:

  1. Open the lead's detail page.
  2. Change the status to Converted.
  3. The lead is linked to their customer profile in the CRM.

Conversion tracking helps you measure the effectiveness of your sales process. The CRM analytics page shows conversion rates and average time from lead creation to first purchase.
